Record each trade's insurances, licences and certificates against their company, with an expiry date, and HomePulse flags them as the expiry approaches. It shows the flags on screen only and sends no email, so the screens below are where you check.
Before you start
The trade has to be set up as a Service Provider company, because the Statutory Requirements tab only appears on that type. See Suppliers, companies and contacts.
Add a requirement
Go to Companies and open the trade.
Open the Statutory Requirements tab.
Add a requirement and choose its type.
Enter the expiry date, which is required.
Attach the certificate or policy document.
Save.
The type comes from a fixed list: Public Liability, Indemnity, Workers Comp, Accident-Illness Insurance, Contractor Statement, the NSW and ACT contractor licences, White Cards, and HISSP Forms 1 to 10.
Each requirement holds one document. When a policy renews, update the expiry date and attach the new certificate.
Where expiring requirements show up
On the company. A requirement is red when it has expired or expires within two weeks, and orange when it expires between two weeks and two months from now.
On a job. The Issues card on the job's Summary lists expiring statutory requirements for the trades on that job.
On your Jobs list. The Issues column shows a red "expiring service providers" badge on any job affected.
Check the Issues column on your Jobs list at the start of each week, since nothing else will tell you a policy is about to lapse.
What to do next
Set up your trades' requirements before you book them onto a job, so an expired policy shows up before the trade is on site. Building your job schedule covers adding trades to tasks.
